Privacy Policy
SwatiLabs LLP ("SwatiLabs", "we", "our", or "us") is committed to protecting your personal information. This Privacy Policy applies to swatilabs.in and to every product and service we build and operate under the SwatiLabs brand — including, for example, FieldOps365 (fieldops365.com) and ProSafeT (prosafet.in) — together with any product we launch in the future, whether or not it is named here (collectively, the "Services"). It explains how we collect, use, store, and disclose information when you visit our sites, use any of our Services, contact us, or communicate with us over WhatsApp. This is a single, umbrella policy: unless a specific Service publishes its own additional privacy terms for a use case unique to that Service, this policy governs it.
1. Information We Collect
Depending on how you interact with us, we collect the following categories of information:
- Contact details: Name, email address, phone number, and company/organisation details you submit through a contact form, callback request, sign-up flow, or send us directly by email or WhatsApp.
- Account data: Login credentials, role, and profile information for any Service that requires an account (for example, a FieldOps365 workspace user or a ProSafeT customer account).
- Transaction and product-usage data: Orders, invoices, job/work records, service requests, and other records generated by your use of a specific Service.
- Payment data: Where a Service processes payments, card and payment details are collected and processed directly by our payment processor — we do not store full card numbers on our own systems.
- Communications: The content of emails, WhatsApp messages, and support requests you send us, so we can respond to your enquiry or provide the Service.
- Usage data: Standard web/app server log data (IP address, device/browser type, pages or screens visited, timestamps) collected automatically when you use a Service.
2. How We Use Your Information
We use the information collected to:
- Provide, operate, and maintain the Service(s) you use.
- Respond to enquiries, callback requests, support tickets, and demo requests.
- Process orders, subscriptions, invoices, and payments.
- Send you transactional and account-related communications about a Service you use (for example, job assignment notifications, OTPs, order confirmations, or billing updates).
- Communicate with you over WhatsApp, email, or phone about your enquiry or your use of a Service (see Section 3).
- Maintain the security, integrity, and reliability of our sites and Services.
- Comply with applicable legal, tax, and regulatory obligations.
3. WhatsApp Business Messaging
SwatiLabs uses the WhatsApp Business Platform, operated by Meta, as a shared communication channel across our Services — to communicate with prospects, clients, partners, and Service users who reach out to us or who a Service is configured to notify over WhatsApp. Depending on how you interact with us, this may include:
- Replies to enquiries you initiate over WhatsApp.
- Follow-ups on a callback request or demo request you submitted on this site.
- Transactional notifications from a Service you use, such as job assignment or status updates (FieldOps365), order confirmations (ProSafeT), or one-time passwords (OTPs) for account access.
We do not add your number to WhatsApp broadcast or marketing lists without your consent. To deliver these messages, Meta processes your phone number and message content on our behalf as a data processor, under Meta's WhatsApp Business Platform Cloud API Terms and Meta Privacy Policy. You can stop a WhatsApp conversation with us at any time by blocking our number or telling us to stop; this does not affect any other channel (email, phone, or in-app notifications) associated with a Service you use.
4. Cookies and Similar Technologies
Our sites and web-based Services may use cookies or similar local storage technologies to keep you signed in, remember your preferences, and understand aggregate usage so we can improve the Service. We do not use third-party advertising cookies.
5. Data Sharing
We do not sell your personal data to third parties. We may share information with:
- Service providers: Infrastructure, payment, logistics, and communication providers that help us operate our sites and Services and respond to you — including our hosting provider, payment processor, shipping/logistics partners (where applicable to a specific Service), and Meta (for WhatsApp messaging, as described above). These providers are contractually or contextually bound to use your data only to provide the service to us.
- Other users of a Service, where the Service requires it: For example, a FieldOps365 workspace admin can see job and worker data within their own organisation's workspace; this data is not shared across unrelated organisations.
- Legal requirements: Government or regulatory authorities when required by law, court order, or in response to a valid legal process.
6. Data Retention
We retain personal data for as long as reasonably needed to provide the relevant Service, respond to you, and maintain a record of the business relationship, and delete or anonymise it when it is no longer needed for that purpose — unless a longer period is required by law (for example, tax and accounting records). See our Data Deletion Instructions for how to request deletion of your data.
7. Data Security
We implement reasonable security measures, including encrypted data transmission (HTTPS/TLS), access controls, and least-privilege practices, to protect the information you share with us. No system is entirely immune to security risks.
8. Your Rights
You have the right to:
- Access the personal data we hold about you.
- Request correction of inaccurate information.
- Request deletion of your personal data, subject to legal retention obligations — see our Data Deletion Instructions.
- Withdraw consent for future communications at any time by telling us, over any channel, that you would like us to stop.
To exercise any of these rights, please contact us at the address below.
9. Children's Privacy
Our Services are intended for business and adult consumer audiences and are not directed at individuals under 18 years of age. We do not knowingly collect personal information from minors, except where a Service explicitly states otherwise and implements appropriate safeguards for that use case.
10. International Users
SwatiLabs LLP is based in India and our Services are primarily operated from and directed at users in India. If you access a Service from outside India, your information may be processed in India or in the location of a service provider described in Section 5.
11. Changes to This Policy
We may update this Privacy Policy from time to time, including to reflect new SwatiLabs products as they launch. Material changes will be reflected in the "Last updated" date above.
